Key Points
- To attend a Council-Sponsored Program Event, girls must be currently registered Girl Scout members (unless noted otherwise in the program event description).
- Participation in program events requires registration in advance.
- Payment is required with your registration form.
- Unexpired Cookie Credits may be used towards program event fees; include the cookie credits (coupons) with your registration form.
- Registration forms are processed on a first-come, first-served basis.
- Registration forms are accepted until the Registration Deadline for the specific program event has passed or the program event is full, whichever comes first. The registration deadline is listed in the program event’s description. The registration deadline is the date by which the registration form must be IN THE BROOKLYN CENTER SERVICE CENTER; the registration deadline is NOT the postmark date of the registration form, nor is it the date by which the registration form is in another River Valleys service center.
- Financial assistance is available for girls and adults; include the “Grants for Girls and Adults Application" form(s)" with your registration form. For information on Grants for Girls and Adults, click here or refer to your 2008-2009 Council Reference Guide.
- Troops and individual Girl Scouts must be accompanied by adult chaperones (unless noted otherwise in the program event description).
- To serve as many girls as possible, please register only the number of adults recommended by Safety-Wise or that are needed as drivers.
- Troops that continually do not show for events will jeopardize future participation.
- Troops/individual Girl Scouts will not be allowed to register for an event if they have an outstanding balance with the council.
Submissions
- Complete a Council-Sponsored Program Event Registration Form. (To register for more than one event, use separate registration forms.) The registration form is available as a PDF as well as electronically on the River Valleys website.
- You may submit your registration form via:
- Website: For your convenience, River Valleys offers an electronic registration form and the ability to pay by credit card at the time of registration.
- Mail: Include full payment. Mail completed registration form with payment to 5601 Brooklyn Boulevard, Brooklyn Center, MN 55429.
- Fax: Credit card information is required as a form of payment. Fax the completed registration form to 763-535-7524.
- In Person: Stop by the Brooklyn Center Service Center and drop off your registration form and payment. After business hours, use the secure drop box on the north side of the building. If you drop off your registration form with payment at one of the other four River Valleys service centers, please note that it will take at least two business days to get to the Registration Team in Brooklyn Center, and will not be processed until it is receipted by them.
- If someone wants to participate in a program event for which your troop is registering after you have already submitted the original registration form, complete an additional registration form with information on the “Add-On Participant(s).”
Confirmations
- A confirmation statement will be mailed to you within two weeks of receiving and processing your registration form. Do not assume you are registered for a program event until you receive a Confirmation Statement.
- We’re sorry but incomplete registration forms (including registration forms without payment) cannot be processed, and will be returned to you.
- If the program event you registered for is full, or its registration deadline has passed, you will receive a notification letter and your check will be returned (or credit card will not be charged).
- If applicable, additional informational materials about the program event (i.e., instructions regarding what to do beforehand, waiver forms, etc.) will be sent closer to the program event date.
Cancellations
- All cancellations must be received in writing (fax, e-mail, or mail). No phone cancellations will be accepted.
- Program Events with fees: To receive a refund the cancellation must be received in writing no less than 30 days before the event date.
- Program Events without fees: Staff need to know if you cannot attend in order to make room for others. Please notify the Registration Team if you will not attend a program event you have registered for.
- Qualifying refunds will be sent within two weeks of receiving required written cancellation. When a program event is cancelled by staff because of low enrollment or other conditions, payment will be refunded within two weeks of the cancellation (unless you choose to transfer payment to another program event).
Weather
- Winter in Minnesota, Wisconsin, and Iowa often means cold and snow. River Valleys plans program events knowing that is normal winter weather.
- As with all activities in our area, there are times when you must adjust for longer driving time and dress appropriately to stay comfortable.
- Before registering for a program event that takes place in the winter, ensure that the drivers for your troop are comfortable driving in winter conditions.
- Safety of all members is priority, and staff do monitor for unsafe weather or other conditions.
- If River Valleys, or our program partners, deem it necessary to cancel a program event, you will be notified and/or a program event cancellation message will be put on the council answering service.
Tips
- Determine if your troop is ready to attend a program event. Attending a program event takes a commitment of drivers, time, and money.
- Use girl planning. Allow the girls to choose program events of interest and make decisions for their schedules.
- Review the Registration Procedures, including the cancellation statement. Share this information with co-leaders, girls, and parents/guardians.
- Help girls plan for the possibility that their first choice may be full. Figure out what works best for your troop: choosing “back up” program events, waiting on the waiting list, or planning a similar event within your troop.
- Inform girls and parents/guardians about the opportunities available. Let them know that they can register for program events on their own if they are interested in something the troop is not planning to attend.
- Once registered for a program event, take care of necessary permissions, health information, etc.
- A reminder call a few weeks before the program event can help to keep girls excited about it; form a phone tree and have the girls do the calling.
- If your troop wants to attend a program event in the next program grade level as a bridging step, please contact the staff Registration Team for approval; not all program events are designed for mixed grade-levels.
